Documents and files
Documents give the Assistant written context about your business: policies, definitions, contracts, plans, and reports. They appear in the Data Catalog list with your connections and tables. To see only documents, choose Documents in the filter above the list.
Supported file types
You can upload these files as documents:
- PDF (
.pdf) - Word (
.docx) - Plain text (
.txt)
Each file can be up to 100 MB.
CSV and Excel files (.csv, .xlsx, .xls) do not become documents. Qubit loads them as tables you can query. See Adding new data.
Images, Markdown files, and older Word files (.doc) are not accepted.
How Qubit processes a document
After you upload a document, Qubit reads its text, splits it into passages, and indexes them so the Assistant can search them later. Text in scanned PDF pages is read with optical character recognition (OCR), in English and Arabic.
While this runs, the document's Status shows Pending or Processing. The list refreshes on its own. When processing finishes, the status changes to one of these:
- Ready: the document is indexed and the Assistant can use it.
- Partially indexed: some content could not be read reliably and was left out of search. Hover over the status to see which pages were affected.
- Failed: the document could not be processed. Hover over the status to see the reason.
How the Assistant uses documents
When you ask the Assistant a question that a document can answer, it searches your indexed documents, uses the passages it finds, and cites them in its answer. A citation shows the document name and, when known, the page number. Click a citation to download the document and check the source.
Viewing and downloading
Click a document's name, or choose View from the row menu, to open a preview. Choose Download to save the original file.
Choosing who can see a document
By default, every member of the workspace can find, read, and ask about a document. Workspace owners and admins can limit this:
- Open the row menu for the document and choose Choose who can see it.
- Select Restricted.
- In Grant access to, choose Member, Group, or Data permission. Pick who to add in the next field, then click the add button beside it (its tooltip reads Add access). Repeat for everyone who needs access.
A restricted document shows a Restricted label in the list. Only the people you grant access to can see it, and it stays out of AI answers for everyone else. Workspace owners and admins can always see every document.
To open it to everyone again, select Everyone in this workspace. Qubit keeps the access list in case you restrict the document again later.
